Our visit port of call would be to visit the property and give you a valuation of what we would expect to achieve for your property. We walk round taking a brief description as we go and then discuss any improvements to the property to help it rent out, talk about marketing prices and the type of tenant the property is likely to attract.

Comprehensive marketing

Once we have had your instruction to market the property, we will revisit and take room measurements for the floorplans and take professional photos using our digital SLR camera, we also have extra flashes which allow us to illuminate a point of interest or feature. We advertise on Rightmove, our own window displays in Hagley and Stourbridge office and in the local papers. We produce full colour brochures which are sent out to prospective tenants who are registered with us.

We mainly advertise in the Stourbridge News and the Kidderminster Shuttle, however we do occasionally advertise in other local papers and regional publications.

Accompanied viewings – Our viewings representative conducts viewings with prospective tenants, he sends us viewings feedback after the viewing for us to update you.

Tenant referencing

When a prospective tenant would like to apply for a property, they have to undergo strict referencing procedures. We use an external referencing company called Legal4Landlords, they will check the tenants credit history, employment and obtain a reference from their current landlord if they have one.

Tenancy Agreement

Normally we sign tenants up to a 6 month Assured Shorthold Tenancy. Occasionally there is the need to use an alternative tenancy agreement or a contract, such as a Company Let or a Non Housing Act tenancy agreement. We can advise if and when a different agreement is required.

Handling of Deposit

We are members of the Tenancy Deposit Scheme (TDS) and Deposit Protection Scheme (DPS), we make a small administrative charge to you for this service.

Transfer of utilities

Under out management service, we write to the utility companies and the relevant council and advise of a change in tenancy.

Full inventory & Schedule of Conditions

We provide an inventory and schedule of condition for all of our Managed properties. It is an important document to have when letting a property as without one, if there are issues with the property at the end of tenancy, you would not be able to put a claim against the deposit as there is no proof it was caused by the tenant. We can provide an inventory for a Let Only property as an additional cost.

Monthly rental collection & Statements

Each month when your tenant pays their rent, we process this and a statement is sent out to you, normally by email. Unlike other Agents, we pay rents out on a daily basis, not just once or twice a month. We understand you have possibly have mortgage commitments, so we like to make sure you receive your money as soon as possible. If you require an annual statement for tax purposes, we can produce this for a small additional cost.

Chasing overdue rental payments

In the unlikely event we do not receive your tenant’s rent on the day it is due, we call them in the first instance to see if they are experiencing a problem, if they have then we can mediate with them and yourself to find a solution to ensure this is paid within a timely manner. On the rare occurrence that the tenant has defaulted on their rent, after the first call, we write to the tenants at 7 day intervals and charges are levied to them. Normally by the 7th day rentals are up to date.

Arranging repairs & Maintenance

repairAs part of our management service, we can organise repairs and maintenance on your property using our trusted & qualified contractors, all of whom have Public Liability Insurance. We can obtain two or three quotes if required and discuss with you the best possible options to ensure your property is maintained and well looked after.

Interim property visits

We schedule the first property visit for 3 months after new tenants move in to a property and then again after a further 3 months, if after this time we find the property to be well looked after by the tenants, these will be moved on to visits every 6 months. After each visit you will receive a report advising the condition, if there are any problems at the property such as general maintenance and if we have any recommendations to ensure the property is kept well.

End of tenancy notices

We are able to serve Section 21 notices and also Section 8 notices if required. Section 21 notices are normally required where a Landlord chooses to move back in to a property or where the property is going up for sale and vacant possession is required.

Check out

When a tenant moves out, we conduct a check out on the property using the inventory that was done at the start of the tenancy. If there are any discrepancies, we work with the tenant to get the issues sorted and the property ready to give back to you or to re-let. We are governed by what can be deducted from a tenants deposit and changes in Legislation mean the Tenant has to agree to the deductions. This service is free for our Managed Properties, but can be provided to Let Only properties subject to an additional charge and an inventory was provided at the start of the tenancy by ourselves.

Rent Guarantee Insurance

As a new Landlord coming on board, we understand that it can be a worrying time. You may have questions such as ‘What if my tenants don’t pay the rent?’. As a new landlord on our management service, we will include 6 months free rent guarantee when you first let your property, giving you piece of mind.

Energy performance certificate

From 2010, it became a legal requirement for your property to have an energy performance certificate (EPC) prior to moving in to a rental property. In 2012, it became a legal requirement to have an EPC when you start to market a property. An EPC is a document which shows how energy efficient a property is with what the property is made of, what heating is in situe and if there is any cavity wall insulation amongst other factors. An EPC lasts 10 years for a rental property and we can organise one for you at a fixed cost.

Floor Plan

Incorporated a floor plan into our marketing material, we found prospective tenants wanted to know the layout before viewing a property. We are one of only a few agencies who offer to produce a floorplan at no extra cost.

Gas Safety Testing

We have a fully qualified Gas Safe engineer who is able to conduct gas safety testing and annual services. Mark has worked with us for a number of years and is a trusted member of our team.
